Managing Subtitle Requests on your Amara Team

If your team uses subtitle requests, you can manage which subtitles are created in your team. You must request a subtitle language for assignments to be available to your team members. 

If your team does not use subtitle requests, team members are welcome to create new subtitles and edit subtitles at any time. Go to your Team > Requests page to check if subtitle requests are an available option in your team. 

If your Team page has a Requests tab, that means that a Manager, Administrator, or Owner must request subtitles for a video before team members can start working on subtitles.

If you only see videos, then your team does not have subtitle requests available as an option. Team owners can contact to upgrade.


  1. Go to the Videos tab of your team page

  2. Select the videos you want to create subtitle requests for by checking the boxes to the left of the videos

  3. Click the Create request button from slide-up menu at the bottom of the screen

Creating subtitle requests if you know the video title

If you already know your video title, you can also create requests from the Requests tab.


Go to the Requests tab of your team page.




Track progress and manage subtitle requests for a video

Managers, administrators, and owners can track subtitle progress and manage all subtitle requests in the Requests page. 


Use checkboxes to select subtitle requests and perform management actions. You can also sort and filter to monitor subtitle requests based type, language, due dates, and more!


To view and manage all subtitle requests for a single video, select “Manage requests for this video” from the drop-down menu on the right.

Every row in the subtitle request list for a video shows the language, current status, and current assignment for each request.

You can make changes to a request by selecting the checkboxes to the left of the language link and then clicking your desired in the slide-up menu.

  • Click the language link on the left to view the subtitle transcript, revision/syncing history, and comments for the subtitles in that language.

  • Click the team member links to the right to view your team member’s profile page, which lists their previous activity, languages, and teams.

Note: The “Set teams” button is only available if you are an Administrator or Owner of two or more Amara teams.

Managers, admins, and owners can edit completed subtitles by clicking the “Edit subtitles” link on the page for that set of subtitles.

Clicking Edit subtitles will take you into the Amara Editor.



View subtitle activity and download subtitles

Visit a page for a set of subtitles to download the subtitles, compare revisions, check subtitle information and activity.


Two ways to get to the page for a set of subtitles:

  • Go to Requests > Click on the subtitle language

  • Go to Videos > Click on the video > Select the subtitle language

View subtitle details, edit subtitles, or follow for updates:

  • Subtitles shows current subtitles and their timestamps

  • Subtitles Info shows video information

  • Activity shows all activity by team members

  • Subtitle Notes shows notes by team members in the Amara Editor

  • Sync History shows the status of subtitle export attempts to the video’s hosting site


View current progress or compare two revisions of subtitles:

Assignment status, list of revisions with two selected, delete revisions link, and change subtitle language link on left panel of subtitle detail page

  • Download completed subtitles to your computer (in SBV, DFXP, VTT, SRT, TXT, or SSA formats)

  • View assignments completed for this set of subtitles

  • Delete revisions or change the subtitle language if needed

  • Compare two revisions at a time

Note: You can choose to import automatically generated captions from YouTube videos when you set up your team integration.

Create subtitle requests automatically or generate missing requests to speed up your team workflow!

You must be an administrator or owner of an Amara Team to create subtitle requests automatically when videos are imported.

Go to Team > Settings tab > Workflows page

  1. Auto-create subtitle requests for transcription

  2. Auto-create subtitle requests for translation in multiple languages

    • Translation assignments will be available to team members after transcription is complete

  3. Apply auto-create settings to existing videos

    • If unchecked, auto-create settings only apply to newly uploaded videos, not videos already on team

Click the Save Changes button to finalize your auto-creation settings.

If you are an administrator of two or more Amara Teams that allow subtitle requests, you can create collaborative workflows between your teams that help boost the quality of your subtitles.


Note: You cannot use teams that do not allow subtitle requests in a multiple-team workflow.


How can I use multiple Amara teams in my workflow?

  1. Source team: 

    • Add your videos 

    • Create subtitle requests

    • Set Work team (required)

    • Set Evaluation teams (not required)

  2. Work team: 

    • Transcribe subtitles

    • Translate subtitles

    • Review subtitles

  3. Evaluation team: 

    • Evaluate subtitles created in Work team

    • You are not required to set an Evaluation team

    • You can set up to 3 Evaluation teams


Get started on your Source Team


Add Videos to your Source Team

The team where you import your videos is called the Source Team. This is where your workflow starts and where all completed subtitle requests will return.


There are several ways to add videos to your Amara Team:

  • Team Videos tab

  • Team Settings > Feeds

  • With the Amara API. Amara provides a REST API to interact with the site. Please contact us at if you’d like to use the Amara API for commercial purposes.

Creating and Sending Subtitle Requests

You can create subtitle requests for one or more videos in multiple languages in the Requests tab of your Source team. Read this article about managing subtitle requests.


You must choose a Work team when you create a subtitle request in your Source team. The default work team is the Source team. Click the dropdown menu and select another team if you want to send an outgoing request.

The Work team completes transcription, translation, review, and approval. When all assignments are completed, the subtitle returns to the Source team.


If you would like another team to evaluate the quality of the Work team’s subtitles, you can add up to 3 Evaluation Teams.


Check the status of subtitle requests, outgoing requests, incoming requests, and evaluations in the Requests tab of your Amara Team. 


Note: Members of one team cannot work on outgoing requests sent to another team.

Optional Evaluation


You also have the option of adding up to 3 Evaluation teams to your workflow. Evaluation teams review subtitles completed by the Work Team. If no Evaluation Teams are chosen, subtitle requests return to the Source Team after all assignments are completed by the Work Team.


The Evaluation team receives their assignment after the Work team has completed the subtitles. If no Evaluation team is chosen, completed subtitles are returned to the Source Team:

Important: Do not set the same team as both the Work team and Evaluation team. Do not add one team twice as an evaluation team. Both of these choices will stop the subtitle request from being created.

Admins and owners of Amara Plus and Amara Community teams can now order professional captions and translations from Amara On Demand in English, Spanish, French, Chinese Mandarin, Portuguese (Brazilian), Arabic (MSA), and Russian. Go to your team, click Subtitle Orders at the top of the page to choose your videos and request subtitles in the available languages. After you order subtitles, you can return to the Subtitle Orders page to check your order history or make new orders. Subtitles will be returned to your team when they are complete.
